Main Conference Participants
If you are staying for the weekend Midwest Women’s Herbal Conference, please visit Registration during lunch on Thursday to receive the information you will need for the weekend.
If you are vending at the Midwest Women’s Herbal Conference please ask at Registration when you will be able to set up your booth. The Marketplace tent is scheduled to be set up by noon on Thursday. The Marketplace will open at noon on Friday to allow plenty of time for women who may not be attending the weekend conference to visit.
Work Exchange Team
Please mention that you are part of the work exchange team when you check in at Registration during Thursday lunch. You will receive information from the Work Exchange Coordinators on what to do when your Immersion is finished. Questions should be directed to: email@example.com
There will be parking attendants available to direct you to your designated unloading area. Women will drop off belongings at a central point near their cabin or camping area, then park their vehicles in the parking area. The parking area is about a 8-minute walk to the Main Camp. If you have mobility needs, please make arrangements by emailing firstname.lastname@example.org right away.
Please make sure to check in at the Registration area after you have offloaded your gear and moved your vehicle to the parking area. The Registration area, located within the screened porch of the Dining Hall, is where you will receive your specific cabin assignment, meal information, name tag, program and map. The Registration area is only open during the above stated arrival times.
AT THE CAMP
For the Immersions: Meals from Tuesday lunch through Thursday lunch are included with your registration.
These meals will be prepared by the Camp Helen Brachman dining team. They are committed to offering tasty meals with quality ingredients that meet the most common dietary needs, ie omnivore, herbivore, no gluten, no dairy, no eggs. If you have eating preferences outside of this scope, please consider bringing nut-free snacks in case the options do not meet your needs. Food allergies stated on your registration form have been taken into account by the dining team. Please ask at Registration what the plan is for your meals. If you have a food allergy not stated on your registration form please email email@example.com immediately so we can share this with the dining team.
The water at the camp is safe and tasty well water. Nourishing herbal infusions will be available in the dining room throughout the day Tuesday through Thursday, as will water and tea. Coffee is served and available in the morning only (7:00 – 10:00 am), please plan accordingly. Using your own reusable water bottle or container is appreciated.
KEEP YOURSELF HYDRATED!
Immersion Registration includes lodging Tuesday and Wednesday night.
You will receive your lodging assignment when you check in on site. If you need lodging Monday night and you have not already registered for it, email us by May 13th and we will adjust your registration and send you an invoice.
Cabins: If you are an elder or someone who needs a lower bunk and has not requested one, please email firstname.lastname@example.org right away. Bring your own pillow, linens and towels.
Camping: Bring all of your own camping gear, tent, bedding, lantern etc.
All cabin beds have a twin-sized mattress. Please bring your own pillow, linens and towels. If your cabin is full, it is important that women who are willing and able to sleep on top bunks do so. This will leave plenty of lower bunks for elders or women with additional mobility needs.
Bathrooms and Showers
All cabins have a bathroom but not necessarily a shower. There are bath houses close by that contain restrooms and showers. The bath house is also available to campers and is in the main camp. Portable toilets are in the main camping area.
The conference is a community space, shared by many women with varying needs. Please keep this in mind, especially if you are sharing sleeping space in a cabin. If you need earplugs for a quieter night, please bring them. If you need a sleeping mask for extra darkness, bring it. If you would be more comfortable sleeping alone, consider camping in your own tent. Please remember that all women have varying needs and it is important to get your needs met as well as respect the needs of others.
All women who attend the conference are invited to join us in co-creating a village where service is joyfully provided by all present - women willing to care for themselves and others - by helping serve meals, rearranging chairs, by keeping spaces clean and organized and a willingness to respond to requests for help as other needs arise.
"It's very fulfilling to step up and help support the community around you. You become more than an attendee - you become a part of the community, and it's so satisfying to share a part of yourself." –Kelly, past conference participant
Women often ask how they can help and this year we have some opportunities for those interested:
-Silent Auction items to benefit the Midwest Women’s Herbal Conference scholarship fund. Everyone is invited to donate items to the silent auction. Ideally these items would be handmade and/or of a sustainable nature. This is a wonderful opportunity to give, to highlight your work and/or something you enjoy sharing. Women so appreciate the opportunity to contribute and receive wonderful items to take home! We hope you will join in on the fun, by giving and/or bidding on items.
If you are not staying for the weekend conference, donations can be given to Elinor, the Registration Coordinator. If you are staying for the weekend conference, please check the main conference Final Confirmation Letter for details on where to turn in your donations.
The Marketplace opens at noon on Friday. Those staying for the weekend conference will be able to spend some time there. It will consist of vendors providing handmade and specialty items. You can support your local herbalists and natural health communities by purchasing their wares. The Moonwise Herbs bookstore will carry many of the books authored by our workshop presenters and will also happily accept your early, discounted registration fee for future Midwest Women’s Herbal events. Some vendors are unable to accept credit cards, so having cash or check with you is advisable.
Yoga will be offered on Wednesday, Thursday and Friday morning. If you plan to participate please bring a yoga mat, blanket or large towel.
Please be aware that there may be ticks and mosquitoes. Be prepared to check for ticks each night and to bring what you need if you get a tick bite. The First Aid area will be available to provide herbal support if you need it. Cedar, Yarrow and Catnip are great plant allies to keep the bugs at bay.
Cell phones/Electronics/Technology Use
We ask that the use of mobile devices be limited throughout the conference & immersions. If you need to make a call or use your device, please step off to a private place so as not to disrupt workshops or other participants. Please note: The camp will not have WiFi available to participants, and depending on your carrier, you may not get cell reception. Please keep your cell phone on silent mode throughout the conference & immersions and consider bringing an alarm clock if you are staying in a cabin instead of using your phone. This allows you to power-down your phone for the evening and allows the women around you who may be extra sensitive to the electromagnetic frequencies emitted from cell phones to get a good night’s rest.
Some women attending are allergic to and/or sensitive to perfume, bug sprays and other personal care products with fragrances, including essential oils. Please use unscented products at the conference. In order to focus on the plants that grow around us and to honor those with sensitivities, we have requested that vendors minimize the essential oils or other strong scents in their products. We hope that this will contribute to an enjoyable, healthy and comfortable weekend for everyone.
We are creating a space just for women at the Immersions. Women have historically created nurturing spaces to heal, share and learn together. We trust that well-nourished women return home and contribute to well-nourished and diverse communities!
There will be some male staff providing support behind the scenes. They will remain in the background and minimize interactions with us. Please be kind to them and know they are there supporting this women’s space.
Drug/Alcohol Free Space
The Immersions and the conference are a family and community space. Please be respectful of others do not bring drugs or alcohol to the camp grounds.
Registered Participants Only
Only those registered for an Immersion are permitted at the Camp. If any child needs to be exchanged with a male parent or other caregiver not registered for the conference, we ask that this takes place in the parking lot, unless other arrangements have been made.
The Marketplace during the weekend conference is specifically set up for registered vendors and sponsors to share resources, services and products. Because of this we ask that women refrain from any type of solicitation outside of the Marketplace. If you have questions or concerns prior to or during the Immersion about this, please contact us at email@example.com.
- If you are attending an Immersion only and not the main conference, we ask that you depart by 5:00 pm Thursday.
- If you are staying through to a pre-conference workshop on Friday afternoon, we ask that you depart by 2pm after lunch on Friday. Please check in with us on Thursday at lunch at the registration area on the dining deck to make sure that you are set up and ready for your pre-conference workshops on Friday AM.
-If you are staying through to the main conference, please check in with us on Thursday at lunch at the registration area on dining deck to make sure that you are set up and ready for the conference weekend.
Thank you for choosing to spend this time with us! If you wish to take advantage of the discounted registration for the September 2019 Mycelium Mysteries: Women’s Mushroom Retreat and the June 2020 Midwest Women’s Herbal Conference, please speak to a conference organizer to sign up before you leave.
